AI meeting assistants can transcribe conversations, summarize decisions, identify action items and make discussions searchable. They can help distributed teams across time zones, but accuracy, participant consent and data retention deserve as much attention as the summary quality.
What meeting assistants can do
Depending on the product and plan, tools may provide live captions, post-meeting transcripts, speaker labels, summaries, task extraction and integrations with calendars or project management systems. Some work inside video conferencing platforms; others record or process audio separately. Confirm the workflow before enabling a tool for every meeting.
Features to compare
- Transcription accuracy for accents, technical vocabulary and noisy audio.
- Speaker identification and support for the languages your team uses.
- Summary quality, citations to transcript passages and editable action items.
- Calendar, conferencing, CRM and project management integrations.
- Retention controls, deletion options, encryption and administrative oversight.
- Pricing based on users, recording hours, storage or advanced features.
Privacy, consent and regional rules
Tell participants when a meeting is being recorded or transcribed and obtain consent where required. Rules differ by jurisdiction and context, including across US states, Canadian provinces and European countries. For Germany and other EU operations, have your privacy or legal team review applicable GDPR and employment requirements before deploying recordings at scale.
Do not record sensitive HR, medical, legal or customer conversations without an approved basis and process. Limit access to transcripts, set a retention period and avoid sharing summaries into broad channels by default.
Run a realistic trial
Test the same set of meetings with a few candidate tools. Ask participants to check the transcript, decisions and action items against the original conversation. Measure the time saved preparing notes and following up, but count correction time and subscription cost as well.
Make summaries useful
Use a consistent template: key decisions, action, owner, due date, open questions and risks. Require a human to confirm commitments before sending notes externally. AI can help capture a discussion, but it should not invent decisions that were never made.
Features and pricing change. Review the current provider terms and test the actual languages, conferencing platform and privacy settings you plan to use.
