AI customer service chatbots can answer common questions, guide users through troubleshooting and help support teams draft replies. The best deployments are grounded in approved company information and make it easy to reach a person when a request is complex, sensitive or outside the bot’s authority.
Common support use cases
Start with repetitive, low-risk questions such as opening hours, order status, product setup or where to find documentation. A chatbot can also classify incoming tickets and suggest responses for human agents. Avoid starting with refunds, account security, legal commitments or cases where a wrong answer could cause serious harm.
Questions to ask vendors
- Can answers be grounded in your approved help centre and internal documentation?
- Can the system show sources or the knowledge article used for an answer?
- Can users escalate to a person without repeating their entire issue?
- Does it integrate with your ticketing platform, CRM and identity system?
- How are conversations stored, used for model improvement and deleted?
- What costs apply to conversations, agents, integrations and AI usage?
Calculate cost per resolution
Compare total monthly software and maintenance costs with the number of issues resolved successfully, not simply the number of bot conversations. Include agent review time, failed answers, escalations and ongoing knowledge-base maintenance. A chatbot that deflects a ticket but frustrates a customer may not be creating real value.
Protect customer trust
Clearly identify the chatbot as an automated assistant. Give it a narrow set of approved actions and require authentication before exposing account-specific information. Keep logs, monitor recurring failures and provide a clear human handoff. Do not use customer data for unrelated purposes without a valid basis and appropriate notice.
Rollout checklist
Clean up help articles, define supported topics, prepare escalation rules, test adversarial and ambiguous questions, and assign an owner to review performance. Begin with a limited audience. Expand only after measuring answer accuracy, customer satisfaction, resolution rate and total cost.
Always confirm the current vendor pricing, integrations and data-processing terms before making a purchase.
